Location: Manhattan KS (with offices in Junction City, Dodge City and Lansing/Leavenworth) 
Salary: negotiable based upon experience

Primary Accountabilities:

Major Duties:

  • Responsible for job searches
    • Working with leadership team to identify need for new hires due to growth, outplacing or reorganization
    • Working with leadership to accurately communicate job duties in descriptions, keeping job descriptions up to date and assisting with new job descriptions
    • Working on identifying fair market value of specific positions and if should be exempt or non-exempt or potentially outsourced/contracted out
    • Posting job openings on relevant sites
    • Enter applicant information into HR system, including internal referrals and direct applicants
    • Evaluate applicants and take candidates through processes and protocols for hiring, including reference checks
    • Responsible for external verifications including PXT testing, background and credit checks, Drug Screens and driving history background checks.
    • Follow up with management throughout the selection process, coordinate and conduct interviews with qualified applicants
    • Salary negotiation and job offers to potential candidates to include written formal offer
    • Process regret messages/letters to non-hired candidates
    • Ensure EEO compliance
  • Responsible for new employee orientation
    • Conduct new employee orientation: This entails completing required paperwork, covering the employee handbook, what to wear/how to get uniforms (if applicable) and enrolling employees in applicable benefits.
    • Arrange for creation of name badge and all relevant logins (NextGen, MagVita, Trillian, Klara, etc.) for new employees.
    • Follow up with missing documentation
  • Responsible for administering employee benefits
    • Ensuring that new employee’s benefits are entered into HR/payroll system for payroll deductions
    • Responsible for submitting and managing forms for employee’s benefit enrollment online
    • Answering benefit inquiries for current staff and working with benefit representatives on questions regarding employee benefits as needed.
    • Assist with conducting one-year benefits meetings and completing all necessary documentation to ensure enrollment of employees is complete
  • Responsible for responding to employment verifications by phone and in writing.
  • Submit and work with payroll to ensure employee changes are implemented in HR system.
  • Responsible monthly to:
    • Notify supervisors within Victory Clinic of upcoming staff evaluations
    • Notify supervisors of performance evaluations that are past due
    • Notify supervisors and staff for training completion to evaluate for salary increases
    • Notify supervisors of upcoming 90-day initial evaluation period of new staff
  • Maintain and administer Employee Recognition Program. Arrange awards for recipients.
  • Maintain employee databases and inform staff no less than one month prior of any expirations in BLS/CPR, licensing or any other applicable expirations.
  • Maintain provider (Doctor, Nurse Practitioner, Physician Assistant, Therapist or other) credentialing databases. Inform providers no less than one month prior of any expirations in credentialing documents to include but not limited to: medical licensing, board certifications, DEA, liability insurance, and BLS/CPR certifications. Ensure that credentialing team has all updated documentation for providers, so that credentialing can stay current with all insurance payors.
  • Maintain and send spreadsheets for providers for relevant insurance payors (such as Tricare) monthly.
  • Handles all issues involving employee complaints or questions that cannot be answered by other staff.
  • Handles disciplinary action and performance improvement with staff at the direction of administration, where applicable.
  • Involvement with all Victory Clinic employee terminations including providing recommendations to management and preparation of termination letters. Arrange for deletion of all relevant logins for separated/terminated staff.
  • Responsible for responding to all Unemployment and Worker’s compensation claims. Ensures compliance with regulatory and legal requirements. Will assist and/or consult with legal department as needed and upon approval from Administrator.
  • Responsible for annual Healthcare insurance, 401K and other reports as requested.
  • Will ensure HR compliance with external licensure and accreditation bodies.
  • Member of Victory Clinic’s Emergency Preparedness and Risk Management Team.
  • The HR Director will develop a strong working relationship and partnership with the Administrator and leadership team to achieve, collaboratively, strategic and effective business decisions in keeping with Victory Clinic’s core focus, core values, and vision.
  • Participates in professional development activities and maintains professional affiliations.
  • Assist administrator with other duties as assigned.

Education/Experience:

  • Bachelor’s degree in human resources, Business Administration, or related field required, PHR/SPHR a plus. At least 3 years relevant (staffing, compensation, development, employee relations) HR experience required including handling employee relations issues. Must possess a general working knowledge of applicable employment laws and regulations. HR management experience preferred. Two years of supervisory experience required.

Qualifications:

  • Candidate must be a problem solver, self-managing, accountable, professional, positive, an excellent team-worker and have knowledge of current HR trends, functions, policies and best practices in order to sufficiently and courteously respond to employee questions, issues, and concerns. Attention to detail, strong analytical and decision-making skills, organized and strong interpersonal and communication skills required. Must have the ability to effectively set priorities and handle multiple tasks and be a strong team player. Ability to work well under pressure and in a rapidly changing environment and to manage highly confidential employee information required. Proficiency with Microsoft Office Applications required.
  • Must be at least 18 years of age or older and be able to pass reference checks, pre-employment background, credit check, drug screen, and position suitability testing.

  • Professional and deadline-oriented environment in a medical office setting. The noise level is typically moderate.
