Reporting Relationship: Program Director of DNM
Salary: negotiable based upon experience

Primary Accountabilities:
The Operations Coordinator, under general direction from the Program Director, provides general administrative support to our employees and community neighbors. while ensuring the smooth running of the office and helping to improve company procedures and day-to-day operation. The Operations Coordinator is generally responsible for client-facing experiences and events. A strong desire to serve the poor and willingness to function in many settings and duties.

Major Duties:

Provide support to the office and team.

  • Greet visitors and community neighbors positively and professionally at the office and via phone. Ensures volunteers are trained to meet organizational standards for hospitality and service.
  • Monitor and purchase supplies along with organizing supplies and office records.
  • Ensure professional appearance of office through organization and supplemental cleaning as needed.
  • Basic office support such as calendar management, filing, record keeping
  • Organizes and maintains organizational documents, history, and permanent agency files.

Neighborhood Services.

  • Coordinates neighborhood events and activities in conjunction with the Hilltop Neighborhood Association
  • Coordinates hospitality and logistics for Dear Neighbor Ministries and Hilltop community events, meals, etc.
  • Provides back up assistance to daily operation of the Community Food Pantry.
  • Maintains current knowledge of area resources and stays abreast of changes in area services.
  • Ability to work occasionally in the evening or weekend.

Volunteer Coordination

  • Identifies sources of volunteers by developing and maintaining contacts. Recruits volunteers and promotes the volunteer program through collaboration with the Development Office regarding written material, advertisements with churches, congregations, individuals, and organizations in the community, and speaking engagements. Identifies volunteer projects for groups and individuals.
  • Conducts the volunteer application process and performs screening of all new volunteers. Identifies individual and group volunteer abilities and interests and matches them with specific needs and services in the program.
  • Carries out orientation for all volunteers, tailored to the project's needs and work to be done, and incorporating the mission of Dear Neighbor Ministries.
  • Documents application process and tracks volunteer time worked. Plans and coordinates volunteer recognition, individually and program wide.

Other Responsibilities

  • Manage contract and price negotiations with office vendors, service providers and office leases. Troubleshoots with vendors when there are issues.
  • Manage small caseload of Representative Payee clients, if/when needed.
  • Address employee queries regarding (e.g. business cards, hardware issues such as phones, computers, etc.)
  • Plan in-house activities such as birthday celebrations.
  • Delivering reports to department heads, management teams and boards of directors to provide insight into the organization's efficiency.
  • Performs other duties as assigned.

Required Qualifications:

  • High School diploma or equivalent.
  • Class C driver’s license, motor vehicle, and insurance required. First Aid certification a plus.
  • Must demonstrate proficiency in MS Office, Excel, Publisher, e-mail and website
  • Effective organizational skills including the ability to effectively manage multiple priorities.
  • Strong interpersonal skills with the ability to work independently and to deal with confidential, sensitive issues.
  • Demonstrated computer skills.
  • Bi-lingual in Spanish preferred but not required.

Physical Demands:

  • Ability to lift up to 40 pounds occasionally and up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • Ability to climb multiple levels of stairs.
  • Ability to stand, lift, carry, push, pull, balance, stoop, reach, handle, grasp, move head and neck across mid-line.
  • Sit about 30% of the time. Frequently express ideas by spoken words. Frequently operate equipment requiring moderate ability.

Work Environment:

  • Inside/indoor office environment which provides protection from weather condition, but not necessarily temperature changes.
  • Interaction with staff and participants.
